Ordering custom soccer uniforms for the first time involves more decisions than most buyers expect. Here is a step-by-step checklist covering the full process from initial design to final delivery, with notes on where orders typically go wrong.
Step 1: Define your requirements before contacting any manufacturer
The clearest orders arrive with the work already done. Before reaching out to a factory, have answers ready:
- How many sets do you need? (Jersey plus shorts counts as one set)
- What sizes and how many of each?
- Do you need a goalkeeper kit in a different color?
- What competition, climate, and frequency of play are these for?
- What is your delivery deadline?
A manufacturer can give you a precise quote and realistic lead time only when they know the full scope. Vague requests produce vague responses.
Step 2: Choose your fabric
Most custom soccer jerseys use 100% micropolyester at 140 to 160 GSM. This weight is light enough for movement and keeps its shape. For youth and school teams that need durability over performance, 160 to 180 GSM holds up better to regular machine washing.
Ask specifically about moisture-wicking treatment. It is a surface finish applied to the fabric and adds minimal cost. For outdoor summer play, it makes a real difference in the second half.
Step 3: Prepare your design files correctly
Most print problems come from bad source files. Submit your logo or design in vector format: Adobe Illustrator .ai, .eps, or print-ready PDF. Do not send a PNG exported from a website at 72 DPI.
For sublimation printing, the full-panel design needs to be built on a flat garment template in the exact dimensions the manufacturer specifies. Ask them to send you the template file before you start designing.
Step 4: Sublimation setup and color approval
Once you submit files, the factory produces a digital print proof showing how the design sits on the jersey template. Check it carefully:
- Are all colors accurate? Sublimation colors can shift slightly from screen to fabric.
- Is logo placement correct across chest, sleeve, and back?
- Are player numbering positions marked?
- Does the goalkeeper kit invert cleanly from the outfield kit?
Do not approve the print proof until you have reviewed it carefully. Printing starts the moment you say yes.
Step 5: Numbering and player names
Club jersey orders almost always require player numbers, and many include player names. Confirm with your manufacturer whether numbers and names are sublimated into the jersey (permanent) or heat-transferred on top (replaceable later).
Sublimated numbers are part of the print and cannot be changed afterward. Heat-transferred numbers can be replaced, which is useful for clubs that roster players across seasons.
Step 6: Pre-production sample review
A physical sample in your most common size lets you check fabric weight, print quality, stitching, and fit before you commit to bulk. Things to check:
- Does the jersey match the approved digital proof?
- Is the stitching even along seams, cuffs, and collar?
- Does the fabric feel right for the intended use?
- How does it handle after one wash?
Send back written approval with specific notes. “Sample approved as received” in an email is worth more than a verbal yes.
Step 7: Bulk quality control
A reputable manufacturer runs QC during production, not just at the end. Ask what percentage of the bulk order is inspected and what they check for: stitch integrity, print registration, and dimensional consistency across sizes. For larger orders, a pre-shipment inspection is worth considering.
Step 8: Shipping
Confirm the shipping method and who bears the cost:
- Air cargo (DHL, FedEx, UPS): 3 to 7 days, higher cost, right for tight deadlines
- Sea freight: 25 to 45 days, significantly cheaper for large volumes
- Courier: suitable for samples and small parcels only
Get a tracking number before goods leave the factory. Account for customs clearance time at your end when planning the delivery date.
